1) Who we are
Practical North provides AI consulting, advisory, and implementation support for companies that want practical guidance on where AI is worth using and how to move toward production.
For personal data covered by this policy, the data controller is Velich Holding B.V., established in Amsterdam, the Netherlands, and registered with the Dutch Chamber of Commerce (KvK) under number 97566373. Privacy questions can be sent to [email protected].
This policy mainly covers website visitors, inquiries, booked intro calls, and pre-contract communications. If Practical North processes personal data for a client engagement, that processing may also be governed by a separate client agreement and, where applicable, a separate data processing agreement.
2) Data we collect
- Contact data: name, email address, company name, job title, and any details you share when booking a call or contacting us.
- Inquiry and project data: business context, workflow descriptions, project goals, documents, datasets, and notes you choose to share with us during discovery or delivery.
- Communications data: email messages, meeting notes, calendar-booking details, and follow-up correspondence.
- Website and technical data: IP address, browser basics, timestamps, referrer information, and security logs generated when you visit the site.
- Cookie preference data: whether you accepted or rejected optional analytics cookies on the site.
- Commercial data: proposals, contracts, invoices, billing details, and payment history where a paid engagement exists.
- Source data: most data comes directly from you, but some business contact information may come from your employer, a referral, or public professional sources when you approach us or we approach you in a business context.
3) Sensitive data
Practical North is not intended to collect special-category personal data and we do not ask for it as part of ordinary website inquiries. Please avoid sharing unnecessary sensitive personal data in contact forms, booking notes, or first-call materials.
4) How we use data
If you do not provide the information reasonably needed to contact you, assess your request, or run an engagement, we may not be able to respond properly or proceed with the work.
- Respond to inquiries and schedule introductory calls.
- Assess whether there is a good fit for a consulting engagement.
- Deliver consulting, implementation, and advisory services.
- Prepare proposals, statements of work, invoices, and records.
- Operate, secure, and improve the website and communications.
- Measure aggregated website usage if you consent to analytics cookies.
- Comply with legal obligations and protect our rights.
5) Legal bases (EEA/UK)
- Pre-contract steps and contract: where processing is needed to respond to your inquiry, prepare a proposal, or deliver agreed services.
- Legitimate interests: running the business, answering business inquiries, keeping records, following up on requests, and securing our systems and communications.
- Legal obligation: where we must retain or disclose data for accounting, tax, compliance, or other legal requirements.
- Consent: where law requires it, including if you voluntarily provide optional information or accept non-essential analytics cookies.
6) Cookies and analytics
Practical North uses a lightweight marketing-site setup. We use a small amount of browser storage to remember your cookie choice, and we only load Google Analytics 4 if you accept optional analytics cookies where consent is required.
If you accept analytics, we use Google Analytics 4 to understand overall website usage, page visits, and key call-to-action clicks. We configure GA4 with IP anonymization enabled, Google Signals disabled, and manual page-view tracking. If you reject analytics, GA4 will not load, and if you later withdraw consent we attempt to clear existing Google Analytics cookies for this site.
The website may also generate basic server-side or hosting logs needed for security, reliability, and troubleshooting. More detail about cookies and browser storage is available in the Cookie Policy.
7) Sharing and processors
We use third-party providers where needed to run the website, communicate with you, schedule meetings, store working materials, and deliver consulting work. Depending on the context, this may include hosting providers, email providers, calendar and video meeting providers, document and storage tools, payment or accounting providers, analytics providers, and AI model providers used to support analysis or implementation.
For client engagements, Practical North may sometimes act as a processor or subprocessor on the client's instructions rather than as an independent controller. Where that matters, the client contract and any separate data processing agreement govern that arrangement.
If you consent to analytics cookies, Google Analytics 4 acts as a provider involved in processing aggregated website usage data.
We do not sell personal data. We may share information if required by law, to protect rights and safety, or in connection with a business restructuring, acquisition, or financing event.
8) International transfers
Some providers we use may process data outside your home country. Where required, we rely on appropriate safeguards for international data transfers, such as Standard Contractual Clauses, contractual protections, and equivalent transfer mechanisms.
9) Data retention
We keep personal data only as long as necessary for the purpose it was collected, including to manage inquiries, deliver services, keep commercial records, and comply with legal obligations.
In practice, inquiry and intro-call materials may be kept long enough to follow up or avoid duplicative work, while proposal, invoice, and contract records may be retained for longer where required by law or needed for dispute resolution. Client project materials may also be retained as needed for delivery, support, security, recordkeeping, or legal compliance.
10) Your rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal data, and to request portability where applicable. Where processing is based on consent, you may withdraw that consent at any time without affecting prior lawful processing.
You may also have the right to lodge a complaint with your local supervisory authority. If you are in the Netherlands, that is the Autoriteit Persoonsgegevens.
To exercise these rights, email [email protected].
If your question is specifically about cookies or analytics, you can also reopen the site's controls through the Cookie Settings link in the footer.
11) Automated decision-making
Practical North does not use website visitor or lead data for solely automated decision-making or profiling that produces legal or similarly significant effects.
12) Security
We use reasonable technical and organizational measures to protect data against unauthorized access, loss, misuse, or disclosure. No system is perfectly secure, but we aim to keep data access limited and proportionate to the work being done.
13) Updates to this policy
We may update this policy from time to time. If we make material changes, we will publish the revised version on this page and update the effective date above.
